About Leukemia and Lymphoma Society San Diego/Hawaii Chapter
The Leukemia and Lymphoma Society (LLS) is the largest nonprofit battling blood cancer. They were founded in 1949 and have spent over $1.5 billion supporting groundbreaking research that has led to innovative solutions to blood cancer.
LLS San Diego/Hawaii is one of the country’s largest chapters, and they needed a highly skilled event production partner to produce their annual Light The Night Walk.
What They Needed: A Creative, Reliable Event Production Partnership
The event involved 50+ vendor partners, 5000+ attendees, an extended live Fireworks display, and months of planning. City streets were going to be shut down, a variety of permits had to be procured and collaboration between multiple city agencies was critical.
Furthermore, the event took place at San Diego’s Waterfront Park which had no existing services. Therefore LLS also needed potable water, restrooms, sanitation, and waste management. Staffing needs went beyond just the event staff. Security, police, fire, and paramedic services needed to be on-site, making coordination with multiple city agencies essential to the safety of all attendees.
What We Provided: Extensive Audio/Visual Solutions For Site-Wide Immersion
Vario’s design and engagement team worked with the Executive Director Kathlene Seymour, her local event team, and the National LLS Campaign managers who oversee all events in North America. We worked hand-in-hand to select a suitable location and develop a site flow that would maximize engagement and exposure for all parties involved.
To conceptualize the space Vario developed scaled diagrams and renderings that could be updated in real-time with the Local and National LLS event teams. This agile collaboration allowed for details to be communicated effectively and precisely. At the event, we provided custom, large-scale lighting and audio so all 5000+ guests were fully immersed in the experience no matter where they were on the event site. This included LED walls, an extensive PA system (including delay towers), and computer-controlled lighting which enabled total blackout at specific moments during the program.
Vario assisted with a multitude of services. First, we helped with Site Selection, reserving San Diego’s Waterfront Park because it could support the walk, and all of the ancillary vendors and services. Second, Vario helped LLS secure various logistical needs throughout the planning process including firework permits, city street closures, police and fire. Last, but certainly not least, we provided on-site event production execution including event management, A/V production, decor, and logistics.
